What does a transaction coordinator actually do?
A transaction coordinator (TC) is the operations partner who manages a real estate file from the moment it goes under contract all the way to a clean, on-time closing. The agent stays in front of clients and chasing new business; the TC makes sure nothing in the deal slips.
The core of the job
- Open escrow and confirm earnest money is deposited on time
- Send the fully executed contract to every party
- Build the timeline — and track every deadline and contingency
- Collect, organize, and chase disclosures, addenda, and signatures
- Coordinate the lender, title, escrow, inspectors, and co-op agent
- Keep the agent and clients updated so there are no surprises
- Assemble a compliance-ready file for the broker
Why agents use one
The math is simple: a TC gives you back the hours a file eats up, and a tracked checklist means deadlines stop slipping. That's more deals closed, fewer fires, and a more professional experience for your clients — without hiring full-time.
