Privacy Policy
A plain-language look at what we collect, why we collect it, and who — if anyone — we share it with.

Keystone Transaction Co. (“Keystone,” “we,” “us”) provides transaction coordination, listing marketing, and virtual assistant services for real estate agents. This policy covers our marketing site, our client portal, and the single-property listing websites we build for agents. It describes the actual, current data practices behind this business — no boilerplate, nothing hypothetical.
Information we collect
We collect information in two ways:
- Forms you submit. Our contact form, listing-inquiry forms, the free checklist request, and open-house sign-in sheets collect your name, email, phone number, and message. Some of these forms also capture a first-touch attribution string (e.g. which page or campaign brought you here) so we understand what's working — it's not used to track you across other sites.
- Portal accounts. Agents we work with have a login (email and password) to our client portal, where our team enters and maintains the transaction, deadline, and document information needed to coordinate their files and manage their listings.
How we use it
We use this information to:
- Respond to your inquiry or listing question
- Deliver the coordination, marketing, or virtual assistant services you've engaged us for
- Send content you specifically requested, like an emailed copy of our closing checklist
- Run your portal account and send related notices, such as upcoming transaction deadlines
Analytics
We use Vercel Analytics and Speed Insights to understand aggregate traffic and page performance — things like which pages get visited and how fast they load. These tools don't use advertising cookies, don't build ad profiles, and don't share data with ad networks.
Who we share it with
We don't sell your information, ever. We share it only with the service providers that keep this business running, and only as needed to provide the service:
- Vercel — hosting for the website and portal
- Resend — delivering transactional email (lead notifications, requested content, portal reminders)
- Neon (Postgres) — our database, where form submissions and portal data are stored
One exception worth calling out plainly: if you submit an inquiry through one of our listing websites, that inquiry is forwarded to the real estate agent whose listing it is, and — if that agent has one connected — to their CRM. That's the whole point of a listing inquiry, and it's the only case where information routinely leaves our systems to reach someone other than our team.
How long we keep it
We keep information for as long as it serves the purposes above — for example, for as long as an agent's portal account is active, or until a lead has been followed up on and there's no ongoing reason to retain it. If you'd like your information deleted sooner, contact us and we'll take care of it.
